Data controller

ITEBV GmbH, Zehntwerderweg 201A, 13469 Berlin, Germany, is the data controller for the processing of the personal data we collect about you. Contact: st@mes-beratung.de.

What data we process

We process the data you provide to us (e.g. name and email at sign-up), the documents/images you upload for transcription, and technical data such as your IP address and use of the site.

Purpose and legal basis

We process the data to provide the transcription (performance of a contract, Art. 6(1)(b) GDPR), to comply with accounting and VAT rules (legal obligation, (c)), and – where you have given consent – for statistics and marketing ((a)).

Your documents and AI processing

The images and documents you upload are processed to produce the transcription. Your documents are not used to train AI models. A sub-processor (AI provider) is used for the transcription itself; a data processing agreement has been concluded. The AI providers used are Google (Gemini) and Anthropic (Claude). Processing may take place in data centres outside the EU/EEA (in particular in the USA); transfers are based on the EU Standard Contractual Clauses (SCC).

Retention

We retain your data for as long as you have an account, and thereafter only for as long as necessary. Accounting records are kept for 5 years in accordance with the Danish Bookkeeping Act. You can have your data deleted at any time.

Email communication

As part of using our service we send transactional emails to the address you provided – e.g. to confirm your email address, sign-in links, password resets and notifications about expert transcription quotes. We use Resend (Resend, Inc., San Francisco, USA) for sending; your email address and the message content are transferred to Resend. The legal basis is Art. 6(1)(b) GDPR (performance of contract).

Newsletter

If you have consented to receiving our newsletter (e.g. via the checkbox at registration or in your account settings), we occasionally send you emails with tips, news and offers about historic handwriting and our services. The legal basis is your consent under Art. 6(1)(a) GDPR. You can withdraw your consent at any time with effect for the future – via the unsubscribe link in every email or in your account settings. After that you will receive no more newsletters; transactional emails about your orders and payments are unaffected. The newsletter is also sent via Resend; to measure performance we record whether emails are delivered and opened and whether links in them are clicked.

Cookies

We use cookies. Non-essential cookies (statistics and marketing) are only set with your prior, explicit consent, which you give granularly per category in our cookie banner. You can change or withdraw your consent at any time, just as easily as you gave it. This follows the cookie guidance of Datatilsynet and the Danish Agency for Digital Government.

You have the right to access, rectification, erasure, restriction and data portability, as well as the right to object. Contact us to exercise your rights.

You can lodge a complaint about our processing of your personal data with the Danish Data Protection Agency, Datatilsynet, Carl Jacobsens Vej 35, 2500 Valby, www.datatilsynet.dk.
